Planning Meeting Notes

Here are the notes and the topics discussed from the planning meeting for those that couldn't make it.

1. Policies
a. When site allows, event setup will be done the day before the event.
b. First car off at 9:00-9:30
c. Preliminary Run/Work Order will be completed the night before.
d. Events will have the equipment setup to do Registration Check in at 7:30.
e. Walk-ups will use an onsite laptop to register for the event online.
f. Morning Registration Check-in will be done using MSR to resolve the syncing issues.
g. Regardless of participation Events should be setup to get 800 runs in, each day minimum.
h. Worker Chief will use an individual checklist
i. A handicapped port-o-pottie will be available at all Oscoda Events.

2. Chiefs: the region will develop and maintain a list of Specialty Chiefs as resources. Event Chairs can reference the list to ensure they have knowledgeable people to run events. Members who want to learn more about how events are run can connect with members of the list to shadow and train to be Specialty Chiefs.

3. Equipment
a. New Radios and headsets
b. Helmet Scanner and Printer
c. Wheel dollies

4. Funmover Drivers
a. A list of funmover drivers needs to be updated
b. More coordination to ensure the funmover makes it to events between drivers and Event Chairs
c. Funmover needs to be moved the day before events for setup.

5. Regional ProSolo
a. With two National ProSolos and the expected availability at Oscoda’s National ProSolo, we are taking a hiatus from the regional ProSolo to improve our regional equipment.
b. A Committee of capable people will review the software and hardware to make it run better.

6. Regional Solo School
a. A committee will be setup to prepare a curriculum, proposed site and budget, as well as a preliminary list of volunteers to make this happen.
b. Only after the documentation, and volunteers are organized will a Regional Solo School be added to the schedule for 2018.
